The performance evalution cycle for Classified Staff currently runs from April 1 through March 31. As we move into October, we will mark the half-way point. Have you completed, or are you planning to initiate, at least one coaching session for the staff reporting to you?
Remember, at least one documented coaching and progress review session is mandatory.
Has a staff member within your department been promoted to a higher level position? If so, have you reviewed the current performance plan and made the necessary adjustments, if appropriate?
Don't forget to document the coaching session on the Planning and Evalutation Form with the date, the supervisor's initials and the employee's initials.
Dates to anticipate:
March 31, 2010 - current performance management cycle ends
April 1, 2010 - next performance managment cycle begins
April 15, 2010 - completed evalutations must be received by the Human Resources Department
May 1, 2010 - all classified staff must have a performance plan in place for the next evalution cycle (2010-2011)

New Leave Management
Dear Staff--
One of the recommendations made by the Task Force on Efficiency was to simplify the leave management process and to make the reporting of exception time (sick, vacation, overtime, etc.) easier and less time consuming for department users by helping to eliminate the paper forms (leave requests, work records) that need to be completed, approved, tracked down and then data-entered into HRMS.
We will be implementing this program, however, we are beginning with a few departments so we can pilot the program and work out all of the kinks. We will begin the pilot in August with an expected implementation of the end of the year.
As we work through this project, we will share information with the campus.
If any department is interested in participating in the pilot group, please contact me.

The new performance cycle began April 1, 2009 and a new plan must be in place for all classified employees.
To record this in HRMS supervisors need to complete the Performance Management Program - Department Certification Form (Annual), located on the following website: http://www.uccs.edu/~hr/web/atoz/formsaz.html#p
This document records that:
· a plan has been completed;
· the supervisor, reviewer and employee have signed it;
· the employee has received a signed copy of the plan; and
· the plan is technically correct.
For those who have NOT yet completed this form, please do so. Sign the form and fax it to X3426 by Friday. We will be contacting those who have not completed the form next week. Please call us at X3372 if you have any questions.

New HR Website
Hi all—
We hope you’re all making it through this week…
We have revised our website. So as part of that, you’ll notice quite a few structural changes on our new site:
· Each employee group has its own tab, located on the left side.
· When the employee group tab is clicked on, you’ll find that each has its own “News & Resources” page tailored to that group.
· “General Information” is located under the “News & Resources” page, and is the same for each employee group.
· Most links for Forms and Policies & Procedures link to a central A-Z page. For example, under “New Employees” and then “Welcome!” clicking on the Emergency Contact Form will bring you to the “Forms A-Z” page. This helps us eliminate the problem of broken links.
· If you are having trouble finding what you are looking for, we have an All A-Z page. If you are still not finding what you are looking for, please let us know!

Benefits Open Enrollment-FY 2010 Rates

I am pleased to notify you that final rates for health, dental and life insurance are now available and in the Open Enrollment Web Application at www.cu.edu/pbs/openenrollment. These rates include the monthly employee costs for all plans for the period July 1, 2009 through June 30, 2010. Due to the delay in publishing the rates, the university is extending open enrollment to Tuesday, May 26, at 5:00 p.m. (MDT).
To lessen the impact of higher benefit rates in a year when salaries and wages generally will not change, no premium deductions will be taken from your June 2009 pay if you have elected to participate in one of the CU health plans. Employees participating in State of Colorado health plans will have premium deductions in June. The university is shifting the date it pays insurance premiums to provide this one-time premium “holiday” for those in CU plans. Depending on the plans you select, this change will help offset a portion of your cost increases for the new plan year.
More information regarding your benefits for the new plan year can be found at www.cu.edu/pbs/openenrollment. I went through open enrollment for the first time this year and found the process to be straightforward and the website useful. I encourage you to take the time to consider your benefits options in order to make the best choices for your personal situation.

The open enrollment web application opened this morning at 8:00 a.m. as scheduled. Unfortunately, final employee costs for health and dental plans will not be available until CU receives and confirms the State of Colorado’s employer contributions, on which we peg the university’s contributions. As soon as these amounts are confirmed I shall notify you, and Payroll & Benefit Services (PBS) will post final employee costs online at www.cu.edu/pbs/openenrollment and in the open enrollment web application. Please check the website regularly for notice of final rates. Remember, you can enroll or make changes at any time during open enrollment. PBS also is creating a list of FAQs about the rate situation for posting on the open enrollment website.
